About the Job

We’re looking for a results-driven Chief of Staff (m/f/d) to join our Team in Berlin to be “the Ops behind the Ops” and drive operational success at Project A Services. With a key aim to enable and support our Managing Directors in elevating our business to the next level, this role will give you a key position within the world of digital businesses.

In your day-to-day work, you’ll work towards alleviating the workload from our MDs by prioritizing and taking ownership of key strategic and operational tasks while shaping new workflows and initiatives. Our Managing Directors are Stephan Schulze (responsible for Tech), Rainer Berak (responsible for general business, data, and people topics), and Thuy Ngan Trinh (responsible for Commercial).

In this role, you’ll:

  • Take responsibility for designing and optimising internal processes, projects, structures, formats, and meetings in close collaboration with designated Working Students
  • Maintain daily operational success by managing internal tools and administrative activities (eg. project billing, time tracking, budget sheets, and invoicing)
  • Prepare and build presentations for workshops, pitches, meetings, and company-wide communication
  • Monitor and track the progress of different initiatives - providing key insights to our MDs, leadership team, and external stakeholders
  • Organise and manage internal and external events (eg. Strategy Days and Offsites) 

Typical tasks 

  • Proactively contribute to project acquisition materials and the professionalisation of our services  
  • Play an active role in capacity planning/staffing for internal and external projects
  • Provide “on the ground” support to our MDs whether in our Berlin office or on occasional business trips (within Europe and the UK)
  • And anything that allows our MDs to focus on their core tasks and alleviates their workload and busy schedules

What you will not be doing

  • Being the personal assistant of the MDs
  • Coordinating calendars or travel plans
  • Managing a large team
  • Being “the dump” for unpopular tasks of other people in the organisation
  • Conducting operational projects with our client base

Your Profile

  • 3-5 years of experience ideally in consultancies, scale-ups, or innovation teams of corporates
  • Excellent project management skills, building slides (Google slides) and spreadsheets for daily business use cases with an analytical, structured, and process-oriented approach
  • Professional and clear communication in both written and verbal form
  • Ability to thrive in ambiguous situations and be able to lead something with little input/context 
  • A natural ability to build and maintain relationships and anticipate needs and challenges as well as think ahead
  • Resilient, persistent, and proactive attitude as well as trustworthy with confidential information
  • Business-level proficiency in both German and English is a must
  • Excited by in-person collaboration. Regular office presence is desired 
  • Willingness to travel at least once a month within Europe (mostly Germany)  

Please note that we are looking for support in our Berlin office. Eligibility to work within the EU is required as well.
