About the Job

We're looking for a motivated and result-driven Chief of Staff (m/f/d) to join one of our portfolio companies and drive "the Ops behind the Founders" and drive operational success at the company. The key aim of this role is to enable and support the Founders in elevating their business to the next level. This role will give you a key position within the world of digital and AI-driven businesses.

In your day-to-day work, you'll help alleviate the workload of the Founders by prioritizing and taking ownership of key strategic and operational tasks while shaping new workflows and initiatives. The Founders are managing the company as CEO (People, Commercial, and Finance) and as CPTO (Tech, Product, Data, and AI).

In this role, you’ll:

  • Take responsibility for designing and optimizing internal processes, projects, structures, formats, and meetings in close collaboration with designated Working Students 
  • Maintain daily operational success by managing internal tools and administrative activities (e.g. project billing, time tracking, budget sheets, and invoicing)
  • Prepare and build presentations for workshops, pitches, meetings, and company-wide communication
  • Monitor and track the progress of different initiatives - provide key insights to our Founders, leadership team, and external stakeholders
  • Organise and manage internal and external events (e.g. Strategy Days and Offsites)
  • Proactively contribute and own project management to professionalize our platform, org, and services
  • Play an active role in strategizing and prioritizing the execution of the founders’ agenda
  • Provide "on the ground" support to our Founders whether in our Berlin office or on occasional business trips (within Europe, the UK, US, and China)

Typical tasks:

  • Play an active role in capacity planning/staffing for internal and external projects
  • Provide "on the ground" support to our Founders whether in our Berlin office or on occasional business trips (within Europe, the UK, US, and China)
  • And anything that allows our Founders to focus on their core tasks and alleviates their workload and busy schedules 

What you will not be doing?

  • Being the personal assistant of the Founders
  • Coordinating calendars or travel plans
  • Managing a large team
  • Being "the dump" for unpopular tasks of other people in the organization 
  • Conducting operational projects with our user base

Your Profile

  • 3-5 years of experience ideally in consultancies, scale-ups, VCs, or PEs
  • Excellent project management skills, building slides (Google Slides) and spreadsheets for daily business use cases with an analytical, structured, and process-oriented approach
  • Professional and clear communication in both written and verbal form
  • Ability to thrive in ambiguous situations and be able to lead something with little input/context
  • A natural ability to build and maintain relationships and anticipate needs and challenges as well as thinking ahead
  • Resilient, persistent, and proactive attitude as well as trustworthy with confidential information
  • Business-level proficiency in both German and English is a must
  • Excited by in-person collaboration. Regular office presence is desired
  • Willingness to travel at least once a month within Europe (mostly Germany)

Please note that we are looking for support in the Berlin office of our portfolio company. Eligibility to work within the EU is required as well.
