About the Job

We are looking for an experienced Office Manager (f/m/d) to ensure seamless office operations, front desk coordination, and efficient travel and document management.

In this role, you will be responsible for overseeing office security, managing administrative processes, and optimizing workplace efficiency. As the first point of contact for visitors, vendors, and employees, you will play a key role in fostering a professional and welcoming office environment while supporting business travel arrangements and internal compliance procedures.

In this role, you’ll:

  • Manage front desk operations and visitor assistance, ensuring a welcoming and professional atmosphere
  • Oversee office security protocols, including visitor access, badge management, and coordination with building management
  • Handle travel arrangements, supporting employees with business travel bookings and expense tracking
  • Organize office logistics, including ordering supplies, maintaining shared spaces, and ensuring smooth daily operations
  • Support document management, maintaining up-to-date records and assisting with internal compliance procedures
  • Coordinate office events, from company gatherings to team-building initiatives, fostering a positive workplace culture
  • Act as the main contact for facilities management, addressing office infrastructure issues and liaising with service providers

Your Profile

  • Proven experience in office management, administration, or executive support, ideally in a fast-paced environment
  • Strong organizational and multitasking skills, with the ability to manage multiple responsibilities effectively
  • Experience in security and visitor management, including guest protocols and office access procedures
  • Familiarity with travel coordination, including booking flights, accommodations, and managing travel documentation
  • Proficiency in office management software, such as MS Office, Google Suite, and administrative tools
  • Excellent communication skills, both written and verbal, with the ability to interact professionally across all levels
  • A proactive mindset with a problem-solving approach and a focus on continuous improvement
  • Fluency in German and English (written and spoken) is required

Please note that we are looking for support in the Aachen office of our portfolio company. Eligibility to work within the EU is required as well.
