About the Job

We’re looking for an experienced, part-time (50%-60%) (Senior) Executive Assistant (m/f/d) to join Project A’s dynamic team in London. This role offers a flexible, hybrid working environment and centres on supporting the Partners and Investment team—acting as a key link between our London and Berlin offices. You’ll play a vital role in driving efficiency across a range of responsibilities, enabling our leadership team to focus on what they do best.

In this role, you’ll:

  • Ensure optimal time management for the Partners by managing dynamic calendars, including effective prioritisation and coordination of meetings.
  • Seamlessly plan and coordinate business travel, event logistics, and off-site arrangements for the London team.
  • Professionalise day-to-day operations in London by coordinating Finance (e.g. expense reporting), HR, Front Desk, Office, and Compliance processes—working closely with the Berlin HQ to support efficient decision-making for the Partners.
  • Liaise with external stakeholders such as the FCA, Luxembourg legal entities, and other external regulatory or payroll partners to support ongoing operations.
  • Support strategic initiatives, conduct research, and manage special projects and ad-hoc tasks as needed.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Foster strong relationships and ensure seamless communication with Partners, clients and internal teams.

Your Profile

  • Experience as an Executive Assistant, Founders’ Associate, Chief of Staff, or in a similar role within a high-performance, fast-paced environment—ideally in the VC, startup, or investment space.
  • Exceptional organisational skills and the ability to multitask, prioritise, and manage an ever-evolving workload with precision and ease.
  • A genuine passion for supporting teams, along with strong skills in building relationships across all levels of the business and with external stakeholders.
  • Proficiency in Google Workspace, Microsoft Office, calendar management, and other organisational tools—with an affinity for leveraging technology to stay efficient.
  • High levels of flexibility, initiative, and problem-solving ability. You’re proactive, self-driven, and maintain a positive attitude—even under pressure.
  • Sound judgement and discretion in managing communication flows—your experience and logic allow you determine what needs to reach the Partners and what doesn’t.
  • Excellent verbal and written communication skills in English; German is a plus.

Please note: We are looking for part-time candidates who are happy to come in on a hybrid/remote basis to our London office. Eligibility to work in the UK is required.
